Privacy Policy
This policy explains how YourGood Planner, at planner.yourgood.io, processes personal data. The service is operated by SIA YOURGOODS, Latvia, Registration No. 40203319700. Contact oplata@yourgood.app about privacy or your data.
Data we process
We store your account name, email address, password hash, acceptance of our agreement, and login sessions. When you connect Zoom, we receive your Zoom user and account identifiers, display name and OAuth tokens. We process meeting titles, dates, durations, recordings, transcripts and the instructions you provide when inviting a notetaker.
For meetings you host, we download available cloud video, audio and transcript files through your authorized Zoom connection. For meetings you attend, YourGood Notetaker joins visibly, requests the host’s recording permission and captures audio during the permitted session. We transcribe that audio on our server using Whisper tiny. Bot sessions do not capture video. Transcription may be inaccurate.
Why we process it
We use account and meeting data to provide the service you request, under our agreement with you. We use limited operational information to protect accounts, prevent abuse, investigate failures and meet legal obligations. You must have the right to record and upload meeting participants’ information and provide any legally required notice or consent. When you submit other people’s meeting data, we process it on your instructions to provide your private archive.
Storage and access
Planner stores its production database, archived recordings, transcripts and encrypted backups on Hetzner infrastructure in Helsinki, Finland, within the European Union. Audio transcription runs on the same EU infrastructure. Meetings expire 30 days after they are added to Planner. Your archive has a 2 GB storage limit. Notetaker sessions are limited to 60 minutes. Media, transcripts and Zoom credentials are encrypted on our server, and access is restricted to the owning Planner account. Authorized administrators may access data when necessary to operate the service or respond to a security or support issue.
Deleting a meeting removes access immediately and schedules its files for deletion. Disconnecting Zoom or removing the integration in Zoom stops processing and deletes related meeting data. Deleting your account also removes your account and sessions. If an external revocation request fails, an encrypted token may remain in a restricted retry queue for up to 24 hours solely to revoke access. A temporary storage failure can delay physical removal; queued deletion is retried.
Encrypted database backups and encrypted media copies are retained for up to seven days. Deleted material can remain in those restricted backup copies until expiry. A separate encrypted deletion journal is retained for eight days and reapplied during recovery so that deleted material is not restored to your archive.
Service providers and disclosures
Zoom processes information under its own terms when you use Zoom. We use server hosting and infrastructure providers to run Planner. Audio transcription runs on our infrastructure; meeting audio is not sent to an external transcription API. We do not sell meeting data or use it to train models. We may disclose information when required by law or necessary to protect legal rights. Where an international transfer requires safeguards, we use the safeguards required by applicable data protection law.
Cookies and technical information
We use essential session and OAuth security cookies. We do not include advertising or third party analytics trackers. Our application logs record limited operational events, without meeting content, passcodes or OAuth tokens. Request protection may process your IP address. Sessions expire after seven days. Event logs are size-limited and rotated; webhook deduplication and completed processing records are removed within 30 days.
Your rights
Depending on applicable law, you may request access, correction, erasure, restriction, portability or object to processing. Contact us at the address above; we may need to verify your identity. You may complain to your local data protection authority, including Latvia’s Data State Inspectorate. You can download available meeting files and delete meetings or your account in Settings.
